Privacy Policy

Last updated: 14 September 2026

J-Servers respects your privacy. This policy explains what personal information we collect, why we collect it, who we share it with, and how you can access, correct or complain about it.

We are bound by the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). This policy is written for our Australian customers, and our goods and services are directed at customers in Australia.

1. The personal information we collect

  • Contact and account details - your name, company name, email address, phone and mobile numbers, and your street and postal addresses.
  • Website account details - if you create an account, your name, email, phone, company and a password. Passwords are stored in a protected form, not as plain text.
  • Orders, invoices and payments - what you have quoted, ordered, been invoiced for and paid, along with any refunds, credits, account balance and payment terms.
  • Repair and service information - where you book a repair, the device type, manufacturer, model, serial number, its condition, the accessories left with us, the fault reported and the work performed.
  • Device access details - where a repair cannot be completed without them, the login details or product keys you choose to give us for your device. See section 9.
  • Support enquiries - the tickets, emails and attachments you send us, and our replies.
  • Saved payment methods - if you choose to save a card, our payment provider stores the card and returns a token to us together with the card brand, the last four digits and the expiry date. We never receive or store your full card number.
  • Technical information - your IP address is visible to our web server, and is recorded when you sign in or submit certain forms so that we can protect the site against abuse.

We collect this information directly from you - when you buy something, book a repair, create an account, contact us, or complete a form on our site. Sometimes we collect it from someone acting for you, such as a colleague placing an order on your behalf.

You do not have to identify yourself for a general enquiry. However, we cannot supply goods, issue a tax invoice, or carry out a repair without the information above.

2. Why we collect and use it

  • To supply the goods and services you ask for, and to process payments, refunds and account credit.
  • To carry out and return repairs, and to keep a record of the work done.
  • To issue quotes, tax invoices, receipts and order updates.
  • To answer your enquiries and provide support and warranty service.
  • To manage credit accounts, payment terms and overdue amounts.
  • To meet our obligations under Australian tax, consumer and record-keeping law.

We do not sell your personal information, and we do not disclose it to third parties for their own advertising.

3. Who we disclose it to

We disclose only what is needed, to organisations that help us run the business:

  • Payment providers - Stripe, Square, PayPal and Zip, depending on how you choose to pay. Your card details are entered with and held by the provider, not by us.
  • Delivery and freight companies - your name, address and contact number, so your order can be delivered.
  • Suppliers and manufacturers - where an item is shipped to you directly, or where a warranty claim or repair must be handled by the manufacturer.
  • Google - our sign-in, registration and password reset forms use Google reCAPTCHA to block automated abuse. Google receives your IP address and information about your interaction with the form.
  • Website service providers - our website loads fonts from Google Fonts and icons from the Cloudflare cdnjs service, which receive your IP address in order to serve those files.
  • OpenStreetMap - if you enter a delivery address at checkout, that address is sent to the OpenStreetMap Nominatim service so we can show you a map to confirm it is correct.
  • Our accountant, auditors, insurers and professional advisers, and debt recovery agents for genuinely overdue accounts.
  • Government agencies and law enforcement - where we are required or authorised by Australian law to do so.

4. Overseas disclosure

Some of the providers listed above are located overseas or store data overseas, including in the United States and the European Union. Where we disclose your personal information to an overseas recipient, we take reasonable steps to ensure it is handled consistently with the Australian Privacy Principles.

5. Cookies

Our website sets a small number of cookies, all of which are necessary for it to work. We do not use advertising cookies, and we do not use analytics that build a profile of you.

  • JSCartID - remembers what is in your shopping cart as you move between pages.
  • JSSession - keeps you signed in to your customer account.
  • JSAdminSession - keeps us signed in to the administration area. This is never set for customers.

Google reCAPTCHA may also set its own cookies on the pages where it appears. You can block or delete cookies in your browser settings, but the shopping cart and sign-in will not work without them.

6. Marketing and how to opt out

We may send you information about our products, services and support where you would reasonably expect it, or where you have asked us to. Every marketing message we send includes a way to unsubscribe, as required by the Spam Act 2003 (Cth), and we will action it promptly. You can also ask us to stop at any time using the contact details below.

Opting out of marketing does not stop transactional messages such as invoices, receipts, repair updates and overdue notices, which we need to send in order to do business with you.

7. How we protect your information

We take reasonable steps to protect your personal information from misuse, interference and loss, and from unauthorised access, modification or disclosure:

  • Contact details are encrypted where they are stored.
  • Passwords are stored in a protected form and cannot be read by us.
  • Access to our systems requires an individual login.
  • Traffic to and from our website is secured with HTTPS.
  • Card numbers are handled by our payment providers, so they are never stored on our systems.

No system can be guaranteed completely secure. If a data breach occurs that is likely to result in serious harm to you, we will notify you and the Office of the Australian Information Commissioner as required by the Notifiable Data Breaches scheme.

8. How long we keep it

We keep invoices, receipts, payment records and related documents for at least 5 years after the transaction, as Australian tax law requires. Repair and service records are kept while they may be needed for warranty or support purposes. Other personal information is kept only while we need it for the purpose it was collected, after which we destroy it or de-identify it.

9. Device passwords and product keys

Some repairs cannot be completed without signing in to your device. If you give us a device password, PIN or product key, we record it against your job so the technician can complete the work. Please give us these details only when we ask for them, and only for the device being repaired. We recommend you change any password you have given us once your device is returned. If you would prefer not to provide access details, tell us and we will let you know what can still be done without them.

Please also back up your data before leaving a device with us. We treat anything we see in the course of a repair as confidential.

10. Accessing and correcting your information

You may ask us for a copy of the personal information we hold about you, and ask us to correct it if it is inaccurate, out of date or incomplete. If you have a website account you can update most of your details yourself by signing in. Otherwise, contact us using the details below.

We will respond within a reasonable time, normally within 30 days, and we do not charge you for making a request. We may need to verify your identity first. If we refuse a request, we will tell you why in writing.

You can also ask us to delete information about you. We will do so unless we are required by law to keep it - for example, tax records we must retain for 5 years.

11. Making a complaint

If you believe we have mishandled your personal information or breached the Australian Privacy Principles, please contact us first using the details below so that we can look into it. We will acknowledge your complaint and aim to resolve it within 30 days.

If you are not satisfied with our response, you can refer the matter to the Office of the Australian Information Commissioner:
Website: oaic.gov.au
Phone: 1300 363 992

12. Children

Our goods and services are directed at businesses and adult consumers. We do not knowingly collect personal information from children. If you believe a child has given us personal information, please contact us and we will delete it.

13. Other websites

Our site may link to other websites. We are not responsible for their content or their privacy practices, and we encourage you to read their privacy policies.

14. Changes to this policy

We may update this policy from time to time to reflect changes in our practices or in the law. The current version is always available on this page, and the date it was last updated is shown at the top.
